Job SummaryWe are seeking a proactive and detail-oriented Admin & Operations Executive to manage day-to-day office operations and administrative functions at Astera. This role is critical in ensuring smooth organizational processes, efficient vendor management, and seamless coordination with internal and external stakeholders. The ideal candidate will have strong organizational skills, hands-on experience with Microsoft Excel, and prior experience in administrative and operational roles.Salary Range: 100,000 – 150,000 PKR (≈ 360 – 540 USD)What You'll DoAdministrative & Office Management
  • Oversee daily office operations and ensure a well-maintained and efficient workplace.
  • Manage office supplies, utilities, and facility-related requirements.
  • Handle correspondence and act as the first point of contact for building authorities, vendors, and service providers.
  • Coordinate with hotel management and other external partners for official requirements.
Operations & Vendor Management
  • Manage vendor relationships, including negotiation, contract handling, and timely payment processing.
  • Ensure smooth coordination with building management for office maintenance, security, and compliance requirements.
  • Track and manage employee benefits such as fuel allowance and insurance policies.
  • Handle procurement of goods and services while ensuring cost-effectiveness.
Employee Support & Coordination
  • Support employees with administrative needs such as travel bookings, meeting arrangements, and office resource allocation.
  • Assist in organizing internal and external meetings, workshops, and events.
  • Manage calendars and scheduling for key stakeholders as required.
Data & Reporting
  • Maintain accurate records of operational expenses and prepare regular reports using Microsoft Excel.
  • Track and update data related to insurance, reimbursements, and allowances.
  • Monitor budgets for admin and operations-related activities.
What You'll Need
  • 1–2 years of proven experience in an Admin & Operations role.
  • Proficiency in Microsoft Excel and MS Office Suite.
  • Strong organizational, problem-solving, and multitasking abilities.
  • Excellent communication and coordination skills for managing both internal and external stakeholders.
  • Ability to work independently with a proactive and service-oriented mind.
