
Assistant Manager

The Assistant Manager will supervise all purchase-related activities, ensuring proper communication of purchase requisitions and outsource services within the organization and with vendors for desired goods and services.
Responsibilities include:
- Ensuring correct and timely procurement of all items, including purchases, donations, and medical and general supplies for IHHN.
- Verifying purchase orders and work orders according to quotations as per the TIH Purchase Manual.
- Ensuring the availability of all material needs at the most economical cost and within minimum time frames.
- Inspecting receipts, processing rejections and discrepancies, and resolving issues.
- Serving as a point of contact between suppliers, the hospital, and end users.
- Informing concerned departments about delivery schedules.
- Handling petty cash for emergencies, maintaining records and files.
- Preparing work plans, duty rosters for staff, and schedules for the purchase team.
- Reviewing items regularly against purchase orders to ensure quality, make, and quantity.
- Maintaining a list of approved vendors and suppliers, liaising with outside contractors/vendors, and negotiating prices, warranties, and after-sales service.
- Verifying prices regularly by comparing purchase order prices with approved price lists.
- Participating in regular meetings, including Purchase Committee and monthly HOD meetings.
- Coordinating with departmental heads, especially IT, Bio-medical, and Maintenance.
- Supervising staff tasks and activities in the absence of the DM/Manager/Head of Supply Chain.
- Maintaining records for Purchase Orders and Work Orders, and preparing comparative statements if needed.
- Preparing and meeting the department budget.
- Performing other tasks assigned by the immediate supervisor or management.
