Introduction

The Aga Khan University Hospital, in addition to its five Hospitals, creates access through its Outreach Services which include Clinical Laboratories, Outpatient Medical Centres, Pharmacy services, Home Health, and other services. Responsibilities

Reporting to the Manager OC & OP, Safety and Security, you will be responsible for performing a variety of administrative functions for the Safety & Security Department. This position requires the ability to develop relationships with a variety of people and project a professional image through in-person and phone interactions. You should be a self-starter and possess the ability to work with minimal supervision. You should be reliable and handle multiple work assignments which may be difficult to prioritize.

• Assisting in smooth functioning of SIRC / OC & OP operations

• Filing the records of employees of the section.

• Assisting in the hiring process of the employees of the section.

• Keeping attendance, leave, & overtime records of OC & OP employees.

• Assisting in budget planning of the section and sub-section.

• Maintaining assets record and keeping track of the condition of the assets.

• Providing shared administrative support to relevant personnel within the divisions as assigned.

• Assisting in preparing purchase requisitions/material stock requisitions and following up for material ordered/requisitioned.

• Assisting in maintaining the departmental training record and preparation of presentations.

• Maintaining stationery stock for the department and issuing stationery as needed.

• Assisting in security clearance and preparation of security passes during high-profile events.

• Assisting in conducting internal/external service quality surveys by the department.

• Performing additional official tasks assigned by Manager OC & OP.

Requirements
  • Intermediate; a graduate will be preferred.
  • A minimum of 3-5 years of office work experience, preferably with a Secretarial course.
  • Track record of mastering new tasks with little or no supervision.
  • Should be a team player and work under pressure in challenging situations.
  • Should be able to maintain integrity/confidentiality of sensitive information.
  • Proficient in the use of computer packages, especially MS OFFICE.
  • Good interpersonal/communication skills for public dealing.
