Executive Office Coordinator

About the Role:
The Bureau Veritas Group is seeking a highly skilled and organized Admin & Procurement Executive to join its team in Lahore. The successful candidate will be responsible for providing administrative support, managing office supplies, preparing reports, maintaining databases, and ensuring excellent customer service.
Key Responsibilities:
- Administration Duties:
- Manage office supplies stock and place orders with suppliers.
- Prepare regular reports on expenses and budgets.
- Maintain and update company databases for efficient record-keeping.
- Organize a filing system for important and confidential company documents.
- Answer queries from employees and clients in a timely and professional manner.
- Update office policies as needed to ensure compliance and best practices.
- Maintain a company calendar and schedule appointments with stakeholders.
- Book meeting rooms and distribute correspondence as required.
- Prepare reports and presentations with statistical data as assigned.
- Arrange travel and accommodations for business trips.
- Schedule in-house and external events for the team.
- Maintain office facilities for smooth operations and employee comfort.
- Procurement Duties:
- Receive purchase requisitions from requesters, consolidate, and plan purchases to meet deadlines.
- Get quotations, analyze prices, and create comparison sheets for approval by the manager.
- Look for and contact suppliers to discuss price, quality, delivery time, and other requirements.
- Negotiate with suppliers to obtain the best deals for individual products or longer-term discount agreements.
- Negotiate with suppliers to meet quality, delivery, and cost objectives.
- Establish and negotiate contract terms and conditions with suppliers.
- Prepare and complete purchasing processes required in the Flex system.
- Collaborate with requesters to supervise the inspection of all supplies, services, and equipment purchased to ensure conformance with specifications.
- Purchase or contract for supplies, services, and equipment required by any using agency within budget limits.
- Prepare and maintain the vendor master file, purchasing records, reports, and price lists.
