Job Description

The role of the IT Administrative Coordinator is to provide high-level administrative support to the CIO/IT Leadership team, ensuring seamless day-to-day operations in the IT department. This involves managing schedules, coordinating meetings, handling communications, and assisting with IT-related projects and initiatives.

Key Responsibilities:
  • Manage and maintain the Google calendar for the CIO/IT Leadership, scheduling meetings and prioritizing engagements.
  • Prepare agendas, presentations, and reports for meetings.
  • Screen calls, emails, and correspondence, responding on behalf of the CIO when required.

Project Coordination:

  • Assist in tracking IT projects, ensuring timelines and milestones are met.
  • Coordinate with team members and external stakeholders for project updates.
  • Maintain documentation for IT policies, processes, and compliance requirements.

Meeting and Event Management:

  • Organize and schedule IT department meetings, events, and conferences.
  • Take meeting minutes, distribute action items, and follow up on task completion.

Communication and Liaison:

  • Act as a liaison between the CIO and internal/external stakeholders.
  • Communicate IT-related updates, initiatives, and changes within the organization.

Document and Data Management:

  • Maintain and organize IT-related documents, ensuring confidentiality and easy retrieval.
  • Analyze data for IT reporting and dashboards, assisting in decision-making.

General IT Support:

  • Support the IT team in organizing meetings and arrangements and internal communications.
  • Stay updated on IT tools and systems, supporting and coordinating for basic troubleshooting assistance.
  • Manage travel arrangements and expense reports for the CIO/IT leadership team.
  • Handle ad-hoc tasks and administrative requests as needed.
Qualifications:

Education:

  • Bachelor's degree in Information Technology or Computer Science.

Experience:

  • 2-3 years of experience as IT Coordinator/Executive Assistant-IT, preferably in Medical Billing, IT, or a technology-driven environment.
  • Experience in IT Operations and IT help desk support is a plus.
  • Strong knowledge of IT systems, tools, and terminologies.

Skills:

  • Exceptional organizational and coordination abilities and multitasking skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with IT tools like Jira, Confluence, or similar.
  • Strong written and verbal communication skills. Proficient in English language.
  • Ability to handle confidential information with integrity.
  • Good understanding of IT workflows, systems, and processes.
  • Proactive and resourceful problem-solver.
  • Detail-oriented with a high level of accuracy.
  • Ability to thrive in a fast-paced, tech-driven environment.
  • Strong interpersonal and relationship management skills.
