Main Functions:- Document Control & Governance
- Responsible for implementing and enforcing document control policies, ensuring compliance with regulatory requirements, internal policies, and ISO standards.
- Improves document management processes to reduce reliance on paper and establish a structured document filing system for easy access and retrieval.
- Maintains version control processes, ensuring only the latest versions are accessible to stakeholders.
- Digital Document Solutions
- Administers and optimizes document management systems (e.g., SharePoint, Aconex, Procore) for real-time access and seamless collaboration.
- Develops user guidelines and ensures employees are well-versed in document management best practices.
- Implement access control measures to safeguard confidential and sensitive documents.
- Documentation Quality & Timeliness
- Assists in preparing accurate and complete documentation, ensuring timely delivery of project reports and compliance documents.
- Reviews and updates documentation to reflect the latest policies and process changes.
- Training & Development
- Conducts regular training sessions for staff to ensure compliance with document control procedures.
- Provides guidance on document management software and tools to enhance efficiency across departments.
- Project Coordination & Compliance
- Effectively coordinates multiple tasks while ensuring all document-related deadlines are met.
- Acts as a liaison between project management teams and document control functions to enhance coordination.
- Secure Storage & Continuous Improvement
- Maintains secure, well-organized archives for project documents, ensuring future accessibility.
- Conducts periodic audits to assess document control effectiveness and identifies areas for improvement.
- Recommends and implements process enhancements to optimize document control workflows.
