About the Role: We are seeking a highly skilled and organized Executive Assistant to join our team. As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of our executive team.
Key Responsibilities:
- Calendar Management: Coordinate and manage the schedules of senior executives, including scheduling meetings, appointments, and travel arrangements.
- Communication: Handle incoming and outgoing communications on behalf of the executives, including emails, phone calls, and written correspondence.
- Meeting Coordination: Organize and prepare for meetings, including booking venues, preparing agendas, and taking minutes.
- Documentation: Prepare and edit documents, reports, and presentations with a high degree of accuracy and professionalism.
- Travel Arrangements: Arrange domestic and international travel, including flights, accommodations, and itineraries.
- Confidentiality: Maintain strict confidentiality and discretion with all sensitive information and communications.
- Office Management: Assist with office management tasks, including ordering supplies, maintaining records, and coordinating with vendors.
- Support Projects: Provide support on special projects and initiatives as required by the executive team.
- Relationship Management: Build and maintain strong relationships with internal and external stakeholders.
- Internal Communication: Manage incoming and outgoing calls via Zoom.
Requirements:
- Experience: Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.
- Education: Relevant diploma or degree in business administration or a related field is preferred.
- Skills: Excellent organizational and time-management skills, strong written and verbal communication abilities, and proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Must speak fluent English.
- Attributes: Proactive, detail-oriented, adaptable, and able to work independently as well as part of a team.
- Professionalism: High level of professionalism and the ability to handle sensitive and confidential information with discretion.
