Administrative Assistant Opportunity

The position entails maintaining control of the admin and operations of a psychology practice. This is an exciting role that offers variety, challenge and opportunities for growth and development.

Responsibilities include:

  • Managing inbox efficiently and responding to client queries in a timely manner
  • Providing problem-solving support and ensuring seamless communication with clients
  • Scheduling client appointments and coordinating team meetings
  • Processing payments, invoices, and rebate claims accurately and efficiently
  • Maintaining up-to-date client records and databases
  • Coordinating rosters of therapists and managing their schedules
  • Generating periodic reports and taking action based on feedback from therapists
  • Ensuring smooth onboarding and offboarding of therapists
  • Collaborating with the team to achieve common goals
  • Maintaining accurate and organized records of communications, invoices and receipts
  • Uploading and sending weekly blog posts and newsletters to engage with clients
  • Performing routine website updates using Squarespace
  • Coordinating with the director to ensure alignment with company objectives

Qualifications include:

  • Familiarity with PowerDiary (training will be provided)
  • Excellent verbal and written communication skills in English
  • Proficiency in Microsoft Word, Excel, PowerPoint and Google Drive & Google Apps
