Administrative Operations Specialist

We are seeking a highly organized and detail-oriented professional to oversee the day-to-day operations of our office.

This role involves end-to-end management of administrative functions, infrastructure maintenance, procurement, and workplace optimization.

The successful candidate will be responsible for ensuring a seamless office experience, identifying process improvements, and implementing sustainable practices across all systems.

Key Responsibilities:
  • Operational Excellence: Ensure the office is fully functional at all times, with attention to scheduling, filing, and asset management.
  • Process Improvement: Identify areas for improvement and implement changes to enhance efficiency and reduce downtime.
  • Sustainability Initiatives: Lead initiatives that support cost-efficiency, operational resilience, and environmental sustainability across all office systems.
  • Documentation Management: Create and maintain essential operational documentation, including maintenance schedules, staff duty rosters, roles and responsibilities sheets, and incident reporting logs.
  • Audit and Recommendations: Regularly audit existing workflows and recommend improvements for smoother inter-departmental coordination and operational flow.
Requirements:
  • Excellent Organizational Skills: Strong attention to detail in scheduling, filing, and asset management.
  • Strong Documentation Abilities: Effective vendor and logistics management capabilities.
  • Multitasking and Time Management: Proven ability to manage dynamic workloads and prioritize tasks efficiently.
  • Communication and Coordination: Solid communication and coordination skills across departments and with external vendors.
  • Leadership and Ownership: Ability to lead physical office setups, expansions, and day-to-day infrastructure tasks with a strong sense of ownership and operational responsibility.
