Overview:
The role of the Executive Support Specialist is to provide high-level administrative support to a senior executive, ensuring seamless coordination and efficient execution of tasks.
This position requires a detail-oriented and organized individual with exceptional communication skills to manage multiple priorities, handle sensitive information, and build strong relationships with internal teams and external stakeholders.
Responsibilities:
- Calendar Management: Coordinate and maintain the executive's schedule, prioritizing tasks and avoiding conflicts while ensuring timely appointments.
- Meeting Coordination: Organize meetings, including drafting agendas, preparing materials, and recording minutes.
- Communication Liaison: Manage and respond to correspondence on behalf of the executive, ensuring clear and effective communication.
- Travel Arrangements: Plan and book domestic and international travel, accommodations, itineraries, and transportation.
- Confidentiality: Handle sensitive information with discretion and maintain confidentiality at all times.
- Stakeholder Engagement: Build and maintain positive relationships with internal teams, clients, and external stakeholders.
- Administrative Support: Perform additional tasks, such as filing, expense reporting, and maintaining office supplies.
Requirements:
- Bachelor's Degree
- 2-3 years of experience
- Exceptional organizational and time-management skills
- Strong written and verbal communication abilities
- Proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools
- Ability to handle multiple priorities and work under pressure
- Strong attention to detail and problem-solving skills
- Familiarity with specific tools like Slack, Zoom, Google Workspace, etc. is a plus
