Job Opportunity: Senior Procurement Specialist

 

Job Description:

The Senior Procurement Specialist plays a pivotal role in driving the organization's purchasing operations forward. This involves overseeing all purchase-related activities, ensuring timely and accurate communication of purchase requisitions and outsource services within the organization and with vendors.

Responsibilities:

  1. Strategic Procurement:Procure all items, including purchases, donations, and medical and general supplies, while ensuring cost-effectiveness and efficiency.

  2. Order Verification:Verify purchase orders and work orders according to quotations as per the procurement manual.

  3. Supply Chain Management:Ensure availability of materials at the most economical cost and within minimum time frames.

  4. Receipt Inspection:Inspect receipts, process rejections and discrepancies, and resolve issues.

  5. Vendor Liaison:Serve as a point of contact between suppliers, the organization, and end users.

  6. Communication:Inform concerned departments about delivery schedules.

  7. Cash Handling:Handle petty cash for emergencies, maintain records and files.

  8. Planning and Scheduling:Prepare work plans, duty rosters for staff, and schedules for the procurement team.

  9. Quality Control:Review items regularly against purchase orders to ensure quality, make, and quantity.

  10. Supplier Management:Maintain a list of approved vendors and suppliers, liaise with outside contractors/vendors, and negotiate prices, warranties, and after-sales service.

  11. Price Verification:Verify prices regularly by comparing purchase order prices with approved price lists.

  12. Collaboration:Participate in regular meetings, including procurement committee and monthly HOD meetings.

  13. Interdepartmental Collaboration:Coordinate with departmental heads, especially IT, Bio-medical, and Maintenance.

  14. Supervision:Supervise staff tasks and activities in the absence of the DM/Manager/Head of Supply Chain.
