Executive Assistant to Senior Leader

  • Key Responsibilities:
  • Coordinate the senior leader's schedule and appointments.
  • Manage daily operations, including filing, mailing, and faxing documents.
  • Monitor office activities, ensuring cleanliness, food arrangements, and house worker performance are maintained.
  • Ensure the senior leader's room is clean and well-stocked with office supplies.
  • Occasionally travel for meetings and training sessions.
  • Effectively manage the senior leader's diary and appointments.
  • Assist in prioritizing output, workflow, and office deadlines.
  • Receive and relay accurate and timely messages from telephone callers, and respond to inquiries where possible.
  • Take minutes of all meetings.
  • Compose, type, and dispatch correspondence on behalf of the senior leader.
  • Liaise with relevant individuals and external organizations to arrange meetings, prepare agendas, and draft minutes.
  • Maintain a comprehensive filing system.
  • Coordinate travel arrangements with the in-house travel group.
  • Compile and retrieve official expenditures and claims.
  • Arrange local transportation when necessary.
  • Conduct research, engage in media relations, and undertake promotional work.
  • Perform any other duties assigned by the senior leader.
  • Adjust schedules according to the senior leader's presence.
  • Preference: Candidates holding foreign degrees or diplomas in the same field will be given preference.


Requirements and Qualifications
  • Highly organized and able to multitask effectively.
  • Excellent communication and interpersonal skills.
  • Able to maintain confidentiality and handle sensitive information discreetly.
  • Familiarity with office software and systems.
  • Ability to work independently with minimal supervision.
  • Strong problem-solving skills and adaptability in a fast-paced environment.
