Job Overview

We are seeking an Accounts Payable Specialist to join our team. The successful candidate will be responsible for managing accounts payable, ensuring bills and payroll are paid in a timely and accurate manner, while adhering to departmental procedures.

The ideal candidate will have minimum 2-3 years of experience in accounts payable roles, a bachelor's degree is preferred but not required. They should possess competency with productivity systems such as NetSuite, Bill.com, Excel, basic data entry skills, comfortable with math and calculations, good listening and communication skills, attention to detail, and the ability to work effectively in a fast-paced environment.

Responsibilities
  • Manage accounts payable using NetSuite and Bill.com.
  • Handle all vendor invoice coding and approval workflows.
  • Establish and maintain relationships with new and existing vendors, including collection of information for new vendor setup.
  • Ensure bills and payroll are paid in a timely and accurate manner while adhering to departmental procedures.
  • Process manual check requests and wires.
  • Process vendor payments through vendor portals.
  • Investigate and resolve problems with vendor invoicing.
  • Manage returned payments and work to collect update information from vendors.
  • Assist in the 1099 process by collecting W-9's, ensuring name on W-9 matches IRS, and ensuring coding is correct.
  • Assist with month end close by performing accounting duties such as GL account maintenance, recording journal entries for accruals, and reconciling AP accounts.
Qualifications
  • Minimum 2-3 years of experience in accounts payable roles.
  • A bachelor's degree is preferred but not required.
  • Competency with productivity systems, such as NetSuite, Bill.com, Excel.
  • Basic data entry skills.
  • Comfortable with math and calculations.
  • Good listening and communication skills.
