Job Overview

Our ideal candidate will lead a team of administrative professionals, overseeing real estate operations and ensuring the smooth delivery of general administrative services.

Key Responsibilities
  • Lead a team to meet business requirements at competitive cost and optimal resource utilization.
  • Manage travel and other related services, including hotel booking, travel arrangements, protocol services, and airport pickup/send-off.
  • Ensure general administrative services are available, including inventory management, logistics, mail management, and remote working staff equipped for job responsibilities.
  • Manage fixed assets, ensure insurance coverage, and claim management through group stakeholders.
  • Ensure overall health and safety and security adherence to policy guidelines and local regulations.
Admin Services
  • Develop and implement procurement processes to ensure quality consistency, standardization, timelines, and cost-effectiveness of goods and services.
  • Implement service quality standards and supplier quality standards.
  • Manage relocation/renovation projects for smooth transfer at minimal cost and optimal resource utilization.
  • Ensure compliance with legal, regulatory, fire safety, and environmental issues.
Safety and Security Services
  • Develop and implement physical security and safety policies and standard operating procedures.
  • Cooperate with government authorities for license renewal and marketing promotions.
  • Coordinate with law enforcement agencies and private security groups/vendors.
Other Areas
  • Prepare budgets reflecting project rationale, projected investments, and paybacks, approvals, and signed off by business teams.
  • Comply with policies for tendering, selection, and appointment of consultants and contractors.
  • Manage financial expenditure budgets and monitor costs for planned expenditure compliance.
  • Evaluate effectiveness of functions and work towards improvement.
Knowledge, Skills and Experience
  • Sound knowledge of administrative functions in a large organization.
  • Sound knowledge of property management and related local regulations is essential.
  • Innovative and resourceful.
  • Proven leadership skills along with strong inter-personal, communication, and organizational skills.
  • Excellent command in spoken/written English.
