Virtual Operations Specialist

We are seeking an experienced Virtual Operations Specialist to join our team of professionals. This is a full-time, home-based position where you will work closely with the Executive and Chief of Staff to manage calendars, optimize internal processes, and support strategic initiatives.

The ideal candidate will have a Bachelor's degree in a relevant field, 1+ years of experience in virtual administration, and native or near-native English communication skills, both verbal and written. You should also have a proven track record of successfully organized initiatives, strong knowledge of business operations processes and optimization, demonstrated leadership skills, and excellent computer skills, including proficiency in Microsoft Office and internet research competencies.

Your responsibilities will include coordinating among colleagues to organize strategic initiatives and facilitate progress, contributing to the enhancement of internal processes, policies, and tools, conducting research on miscellaneous topics relevant to the effective management of the company, presenting findings in a clear and engaging way, identifying opportunities to increase efficiency and better distribute workloads, taking meeting minutes, ensuring efficient record-keeping and follow-up on actionable meeting items, writing and editing internal communications, managing the Executive calendar, scheduling meetings with clients and employees, managing time off requests and coverage within the Management team, managing the company's virtual phone system and daily messages, and handling other miscellaneous tasks as needed.

You will be a skilled professional communicator, comfortable with self-organization, prioritization, and multi-tasking in a dynamic environment, independently motivated, and able to provide direct feedback when it is needed. You will also be diplomatic, receptive to constructive feedback, and interested in growth, able to manage stress with a positive attitude, even in challenging situations, perceptive and understanding, and able to communicate clearly and professionally. Finally, you will be ready to jump into tasks and do whatever is needed, comfortable with new challenges, and creative problem-solving.
