Administrative Professional

We are seeking a highly organized and personable administrative professional to excel in client-facing roles. The ideal candidate will be fluent in English, possess a minimum of a bachelor's degree, and have at least 2 years of experience in client dealing and follow-ups. This role requires exceptional communication skills, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

  • Greet and welcome visitors in a professional and friendly manner.
  • Answer and direct phone calls to the appropriate personnel.
  • Manage incoming and outgoing mail and packages.
  • Maintain a tidy and presentable reception area.

Administrative Support:

  • Assist in scheduling and coordinating meetings, appointments, and travel arrangements.
  • Prepare and edit documents, reports, and correspondence.
  • Maintain and update company databases and records.
  • Handle office supplies inventory and place orders when necessary.

Client Relations:

  • Act as the first point of contact for clients, addressing inquiries and providing information as needed.
  • Conduct follow-ups with clients to ensure satisfaction and address any concerns.
  • Assist in the preparation and distribution of client communication materials.

Office Management:

  • Oversee the maintenance and cleanliness of the office environment.
  • Coordinate with vendors and service providers for office-related needs.
  • Support the team with various administrative tasks as required.

Job Specification:

  • Bachelor's degree in Business Administration, Communications, or a related field.
  • Minimum of 2 years of experience in client dealing and follow-ups.
  • Fluent in English with excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and multitasking skills.
  • Ability to work independently and as part of a team.
