Job Summary

The Senior Executive Assistant is a vital role within the organization, providing high-level administrative support to senior leadership.

Responsibilities:
  • Supports the Citi Country Officer and Banking Head by handling correspondence, managing calendars, arranging conferences, and coordinating travel arrangements.
  • Manages day-to-day calendar(s) of senior leadership figures.
  • Coordinates executive level manager appointments, meetings, receptions, and conference calls.
  • Prepares and reviews materials for meetings, and assists with creation/modification of presentations, spreadsheets, and other documents.
  • Plans and arranges travel schedules, agendas, and visa invitations.
  • Liaises with consulates for visa-related matters.
  • Manages international traveler logistics, including car transportation, security arrangements, and hotel coordination.
  • Tracks expense reports through Travel and Entertainment Expense system.
  • Handles regulatory correspondence dissemination and reporting for CCO travel.
  • Manages contract lifecycle for NEMs.
  • Processes invoices through Procure to Pay system.
  • Follows up on Virtual Requests.
  • Assists in ad-hoc reports and special projects as needed.
  • Trains, coaches or guides other administrative staff when required.
  • Obtains CGE approvals for CCO office activities.
  • Coordinates Power of Attorney (POA) documentation.
  • Provides backup support to EPSA in managing client and employee events.
  • Ensures risk assessment is appropriate when making business decisions, maintaining a focus on safeguarding the organization's reputation and assets.
Requirements:
  • Previous experience in office administration, preferably in a large and complex financial services organization.
  • High proficiency in Microsoft Office.
  • Clear and concise written and verbal communication skills.
  • Ability to quickly adapt to new systems.
  • Self-motivated and detail-oriented individual.
Qualifications:
  • Bachelor's/University degree or equivalent experience.
