Key Responsibilities:
  • Strategic Procurement: Develop and implement effective procurement strategies that align with the organization's goals and objectives.
  • Supervision and Coordination: Supervise and coordinate the execution of procurement plans and schedules in coordination with relevant departments.
  • Quality Assurance: Ensure ordered goods meet specified requirements and coordinate with authorities for any deviations or amendments.
  • Tender Preparation: Prepare tender announcements according to SSGCL and PPRA policies, ensuring transparency and fairness.
  • Bid Evaluation: Evaluate bids and ensure timely submission, preparing evaluation reports for further review.
  • Contract Management: Coordinate contract finalization with suppliers, negotiate terms, and oversee purchase order issuance.
  • Financial Coordination: Collaborate with the Finance Department on foreign payments and Letters of Credit, ensuring smooth financial transactions.
  • Import Tracking: Supervise import tracking data and utilize digitization tools effectively, generating reports for senior management.
  • Clearance and Delivery: Obtain shipment statuses and coordinate clearance and delivery processes, ensuring timely receipt of goods.
  • SUPPLIER MANAGEMENT: Maintain and update supplier databases and import/vendor information, ensuring accuracy and reliability.
  • Documentation and Record Keeping: Keep records of bills, Bid Bonds, and Performance Bonds, maintaining a clear audit trail.
  • Invoicing and Budgeting: Process invoices properly and assist in budget preparation with the Accounts Department, ensuring accurate financial reporting.
  • Audit Support: Support audit processes by preparing documentation and responses to audit observations, ensuring compliance with regulatory requirements.
  • Risk Management: Follow risk management frameworks, participate in related activities, and report key risks timely, ensuring proactive risk mitigation.
