Job Description

The Deputy Manager is responsible for supervising all purchase-related activities. This includes ensuring that all correspondence related to requisitions are properly communicated within the organization as well as to vendors and suppliers.

  • Ensure correct and timely procurement of all items, including purchases, donations, and medical and general store items.
  • Verify purchase orders and work orders according to quotations as mentioned in the Purchase Manual.
  • Ensure availability of all material needs at the most economic cost and minimum time frame.
  • Inspect receipts, process rejections, and discrepancies and resolve them.
  • Act as a point of contact between suppliers, hospitals, and end-users.
  • Inform concerned departments of the delivery schedule.
  • Handle petty cash for emergencies and complete records and files.
  • Prepare work plans, duty rosters of staff, and schedules for the purchase team.
  • Review items regularly against purchase orders to ensure quality, make, and quantity.
  • Maintain lists of approved vendors and suppliers. Liaise between outside contractors/vendors and internal users; negotiate with suppliers/vendors regarding price, warranted service, and after-sales service as necessary.
  • Verify prices of items regularly; compare prices on purchase orders and approved price lists, maintain lists of approved vendors and suppliers.
  • Participate in regular meetings, including Purchase Committee meetings and HOD's monthly meetings.
  • Coordinate with departmental heads, especially the HODs of Bio-medical and Maintenance.
  • Supervise tasks and activities of staff in the absence of the Senior Manager, Supply Chain.
  • Maintain records for purchase orders and work orders; prepare comparative statements if needed.
  • Perform all tasks assigned by the Supervisor/Head of Department.

Required Skills and Qualifications

Bachelors/Masters in relevant fields

Minimum 7 years of experience with a Bachelor's degree and minimum 6 years with a Master's degree relevant experience
