Procurement Manager Role

The Procurement Manager oversees all purchase-related activities, ensuring effective communication regarding purchase requisitions and outsource services within the organization and with vendors for desired goods and services.

  1. Timely procurement of essential items including purchases, donations, and medical and general store supplies is ensured by identifying and verifying the need for various items.
  2. Purchase orders and work orders are verified according to quotations as outlined in the Purchase Manual.
  3. A balance between cost-effectiveness and time efficiency is maintained when acquiring necessary materials.
  4. Receipts are inspected, rejections processed, discrepancies resolved, and issues addressed.
  5. Service as a liaison between suppliers, the hospital, and end users is provided.
  6. Delivery schedules are informed to relevant departments.
  7. Petty cash management for emergencies and accurate records maintenance are performed.
  8. Work plans, duty rosters for staff, and schedules for the purchase team are created.
  9. Regular review of purchased items against purchase orders ensures quality, make, and quantity.
  10. Approved lists of vendors and suppliers are maintained. Communication facilitation between external contractors/vendors and internal users is conducted.

Negotiations with suppliers/vendors regarding prices, warranties, and after-sales service are conducted as necessary.

  1. Periodic verification of item prices: comparison of prices on purchase orders and approved price lists, and maintenance of a list of approved vendors and suppliers.
  2. Participation in regular meetings, including Purchase Committee meetings and HOD's monthly meetings.
  3. Collaboration with departmental heads, particularly those from IT, Biomedical, and Maintenance.
  4. Maintenance of records for Purchase Orders and Work Orders; preparation of comparative statements if required.
  5. Working within established budgetary parameters.
  6. Performance of tasks assigned by the Head of Department or Management, aligned with your knowledge and skills.
