Look no further We are seeking an experienced Administrative Assistant to join our team and support the day-to-day operations of our practice.Key Responsibilities:
  • Inbox Management: Monitor and manage incoming emails, responding to client inquiries and resolving issues as needed. The ideal candidate will possess excellent communication skills, with a strong command of grammar, punctuation, and spelling (both verbal and written).
  • Client Interaction: Respond to client queries with professionalism, providing assistance and problem-solving solutions. This may involve scheduling appointments, answering phone calls, or addressing client concerns via email or online platforms.
  • Appointment Scheduling: Manage and schedule appointments for clients while ensuring efficient therapist rosters. The successful candidate will be able to effectively coordinate multiple schedules and deadlines.
  • Financial Tasks: Process payments, invoices, and rebate claims in a timely and accurate manner. This includes managing payment systems, tracking expenses, and maintaining accurate financial records.
  • Record Keeping: Maintain and update client records while ensuring confidentiality and accuracy. This involves storing sensitive information securely and adhering to relevant data protection policies.
  • Therapist Coordination: Manage therapist rosters, onboard new therapists, and assist with their offboarding process. This role requires effective communication and organizational skills, with the ability to work independently and collaboratively.
  • Report Generation: Create periodic reports based on practice needs and action as per therapist feedback. The ideal candidate will be proficient in creating informative reports that provide actionable insights.
  • Team Coordination: Facilitate communication within the team, ensuring everyone stays updated on key practice developments. This involves coordinating meetings, distributing important information, and fostering a collaborative work environment.
  • Content Management: Upload and schedule weekly blog posts and newsletters (the copywriting team will provide the content). This role requires attention to detail, with the ability to manage multiple tasks simultaneously.
