
Executive Support Professional

We are seeking a detail-oriented and customer-focused Executive Support Specialist to join our team. This role will provide administrative support to our leadership team, ensuring seamless day-to-day operations.
- Administrative Support:
- Prepare and distribute digital materials, including magazines and reports.
- Manage mailing lists, update spreadsheets, and prepare materials for mail merges.
- Generate sales and finance reports and other documentation as requested.
- Update and maintain company calendars, scheduling reminders and coordinating with team members.
- Provide internal reporting and data analysis.
- Client Communication:
- Serve as the primary point of contact for clients regarding ad campaigns, billing inquiries, and general support.
- Provide exceptional customer service, addressing client needs and resolving issues promptly.
- Miscellaneous Tasks:
- Perform quality checks on QR codes and other digital assets.
- Assist with social media content creation and management.
- Support business spotlight profiles, including adding content to the website.
- Participate in the monthly magazine closure process, ensuring all materials are correctly filed and accessible.
- Proactive attitude and excellent time management skills.
- Comfortable conducting basic research and analyzing data.
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to multitask and prioritize tasks effectively.
- Proficiency in using Google Workspace, especially Google Sheets/Excel (Gmail, Docs Slides), and other relevant software.
- 40 hours per week (Monday-Friday, 9 am to 5 pm CST)
