Job Description:The Payroll Specialist role involves managing employee compensation efficiently, accurately, and in compliance with all applicable laws and regulations. Key responsibilities include payroll processing, compliance & regulations, deductions & adjustments, reporting & record maintenance, communication & support, and year-end activities.
Key Responsibilities:- Payroll Processing
- Process payroll for all employees, including new hires, terminations, and changes.
- Review and validate timekeeping records, leave balances, and attendance systems to ensure accurate calculations.
- Compliance & Regulations
- Evaluate and apply local, state, and federal regulations, including tax laws, labor laws, and social security regulations.
- Maintain knowledge of relevant laws and updates to ensure continued compliance.
- Deductions & Adjustments
- Handle deductions (tax, benefits, garnishments, etc.), bonuses, incentives, and other adjustments to payroll.
- Accurately calculate and process these adjustments.
- Reporting & Record Maintenance
- Prepare and maintain accurate payroll reports for internal and external use, including audits, financial statements, and management reviews.
- Maintain organized and up-to-date employee payroll records in HRIS or payroll software.
- Communication & Support
- Address employee queries related to payroll, deductions, or discrepancies in a timely and professional manner.
- Collaborate with departments to ensure alignment in compensation, benefits, and systems.
- Year-End Activities
- Support in year-end tax filing, preparation of Form 16/ W-2/ T4, and reconciliation activities.
- Maintain accuracy and attention to detail during these tasks.
- Bachelor's degree in Accounting, Finance, Human Resources, or related field.
- Proven experience in payroll processing or payroll administration, ideally 2–4 years.
- Familiarity with payroll software, such as ADP, QuickBooks, SAP, Paycom, or local equivalents.
- Strong understanding of payroll tax laws and labor legislation.
- Excellent numerical and analytical skills.
- Possess strong organizational skills and ability to multitask.
- Proficient in Microsoft Excel and other reporting tools.
- Ability to handle sensitive information with confidentiality.
