As the Virtual Medical Assistant Team Lead, you will supervise a team of Virtual Medical Assistants (VMAs), ensuring that the team delivers accurate, timely, and compliant support services. You will ensure operational excellence, mentor the team, monitor performance metrics, and work as a point of escalation for complex issues. You'll also help with process improvements and training, ensuring the team aligns with healthcare regulations and client requirements.

Key Responsibilities

  • Lead, coach and motivate the VMA team to achieve performance goals (accuracy, turnaround time, client satisfaction).
  • Assign tasks, manage schedules, monitor attendance, and ensure adequate coverage across shifts/timezones.
  • Monitor and analyse Key Performance Indicators (KPIs) such as appointment scheduling accuracy, EHR (Electronic Health Record) data entry accuracy, patient communication response time, billing/claims error rate, etc.
  • Serve as escalation point for complex issues (e.g., patient complaints, provider workflow bottlenecks, billing/insurance issues).
  • Ensure compliance with healthcare data privacy (e.g., HIPAA-style rules or local equivalents), confidentiality and client-specific standards.
  • Develop and deliver training (onboarding and ongoing) for new and existing team members on systems, workflows, quality expectations, tools.
  • Identify process improvements, propose and implement workflow enhancements, automation opportunities or best practices.
  • Collaborate with operations, clinical staff and client stakeholders to ensure smooth service delivery and continuous improvement.

Required

  • Bachelor's degree in Healthcare Administration, Business Administration, or similar field (or equivalent experience).
  • Minimum 1-2 years of experience in a healthcare administrative or virtual assistant environment, of which at least 1 year in a supervisory or team-lead role. (If local market requires different years, you can adjust accordingly.)
  • Strong understanding of medical terminology, healthcare administrative workflows, EHR systems, and medical billing/insurance basics.

Job Type: Full-time

Pay: Rs100, Rs150,000.00 per month
