About the Role
Pak German Engineers is seeking a proactive and highly organized Office Administrator with strong management and technical skills to oversee office operations, support business functions, and enhance workflow efficiency. The ideal candidate will manage administrative tasks, coordinate team activities, and draft professional proposals and quotations for clients. Candidates with a background in electrical engineering will have a distinct advantage.
Key Responsibilities
Office Management
- Serve as the primary point of contact to ensure smooth communication and coordination between departments.
- Oversee day-to-day office activities, ensuring adherence to company policies and efficient operations.
- Monitor and maintain office systems, supplies, and resources to meet organizational needs.
Administrative Oversight
- Coordinate with vendors and external stakeholders to ensure timely delivery of services and materials.
Proposal and Quotation Drafting
- Prepare and draft professional project proposals and quotations tailored to client requirements.
- Collaborate with technical and sales teams to ensure proposals are accurate, competitive, and meet client needs.
- Follow up with clients on submitted proposals and quotations, providing timely responses to queries and revisions.
Employee & Workflow Management
- Track team performance, ensuring timely completion of assigned tasks and deliverables.
- Assist in designing and implementing workflows to enhance productivity and efficiency.
- Ensure employees are aligned with company goals and support their professional development.
Accounts & Financial Coordination
- Collaborate with the accounts department to manage billing, monitor payments, and maintain accurate financial records.
- Provide support in preparing financial summaries and tracking expenditures.
Project & Client Support
- Liaise with clients to understand project requirements and ensure smooth execution.
- Track project progress, ensuring deliverables meet deadlines and client expectations.
- Maintain client relationships, addressing their concerns and providing regular updates.
Technical Support
- Provide assistance in the implementation and management of ERP/CRM systems to streamline project tracking, client inquiries, and account management.
- Ensure technical accuracy in documentation and communication, especially for engineering-related projects.
Qualifications
- Education: Bachelor's degree in business administration, management, or a related field. A degree in Electrical Engineering will be a significant advantage.
- Experience: Minimum of 2-3 years in office coordination, management, or administrative roles, preferably in a technical environment.
Technical Skills:
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Ability to draft detailed proposals and accurate quotations.
- Familiarity with ERP/CRM systems and management tools is preferred.
- Basic understanding of technical products and services, particularly in engineering
Management Skills:
- Strong leadership and organizational capabilities.
- Excellent communication skills, both verbal and written.
- Ability to multitask and prioritize effectively in a fast-paced environment.
Job Type: Full-time
Pay: Rs35, Rs75,000.00 per month
Ability to commute/relocate:
- Islamabad: Reliably commute or planning to relocate before starting work (Preferred)
