Role overview:

As the Office Admin and Accounting Manager, you will play a key role in managing the company's administrative operations and maintaining accurate, timely accounting records.

You will work closely with internal teams to support coordination, supervise office routines, manage procurement, vendor coordination and ensure proper documentation and compliance in accounting tasks.

This role requires hands-on experience in bookkeeping, documentation, office systems, and administrative coordination.

Key responsibilities:

  • Bookkeeping and invoice management:
    Supervise and validate daily accounting entries related to sales, purchases, receipts, and payments, while processing vendor invoices, bills, and payment vouchers to ensure accuracy.
  • Vendor and Payment Coordination:
    Coordinate vendor payments, verify invoice accuracy, and manage supplier records.
  • Administrative Oversight:
    Manage day-to-day office activities to ensure smooth operations and effective workflow across departments.
  • Staff and Departmental Support:
    Provide administrative support such as scheduling, meeting coordination, internal documentation, and interdepartmental communication.
  • Expense and Petty Cash Management:
    Track office and operational expenses, manage petty cash transactions.
  • Procurement and Supply Management:
    Handle procurement of office supplies, equipment, and services while maintaining vendor relationships.
  • Record and Document Control:
    Maintain accurate physical and digital filing systems for quick retrieval and secure documentation.
  • Meeting and Event Coordination:
    Organize internal events, team meetings, and training sessions in collaboration with relevant departments.
  • Visitor and Communication Handling:
    Manage front-desk operations, including welcoming guests, coordinating courier services, and routing internal/external communications.
  • Administrative Compliance:
    Ensure adherence to organizational policies, procedures, and standards related to office operations.

Qualifications:

Educational background:

  • Bachelor's degree in commerce, business administration, or related field.
  • A master's degree is preferred and will be an added advantage.

Certifications (preferred but not mandatory):

  • Microsoft Office Specialist (MOS)
  • QuickBooks Certification
  • CAP – Certified Administrative Professional
  • Office Management & Administration Certification
  • Bookkeeping Certification

Technical skills:

  • Microsoft Excel (Advanced)
  • Microsoft Word
  • Microsoft Outlook
  • Google Workspace
  • Document Management Systems

Additional tools:

  • Billing & Invoicing Tools (e.g., Zoho Invoice)
  • Data Entry Tools

Experience and soft skills:

  • Number of Years of Experience:
    Minimum 2–3 years of experience in a combined accounting and administrative management role.
  • Multi tasking:
    Strong organizational and multitasking skills with attention to detail.
  • Problem solving:
    Demonstrated ability to solve complex task independently.
  • Communication skills:
    Excellent verbal and written communication skills, with the ability to collaborate effectively in a team environment.
  • Adaptability:
    Willingness to take on diverse projects and quickly adapt to changing requirements.
