The Import-Export Executive is responsible for managing and coordinating all import and export operations to ensure timely and cost-effective international shipments. The role involves handling documentation, liaising with customs, freight forwarders, and suppliers, and ensuring compliance with trade regulations and company policies.

Key Responsibilities

  • Shipping & Logistics Coordination
  • Plan, organize, and monitor import and export shipments to ensure on-time delivery.
  • Coordinate with freight forwarders, shipping lines, and transporters for cargo movement.
  • Monitor shipment tracking, ensure correct documentation, and resolve transit issues.
  • Documentation & Compliance
  • Prepare and review import/export documentation (Invoice, Packing List, BL/COO, LC, Form E, etc.).
  • Ensure compliance with customs regulations, trade laws, and international shipping requirements.
  • Liaise with government authorities and clearing agents for customs clearance.
  • Vendor & Client Coordination
  • Communicate with overseas suppliers and customers for shipment updates and document requirements.
  • Negotiate freight rates and terms with logistics partners to optimize costs.
  • Financial & Administrative Tasks
  • Verify supplier invoices and freight bills before approval.
  • Assist in processing Letters of Credit (LC), bank documentation, and insurance claims.
  • Maintain accurate import/export records for audit and reporting purposes.
  • Process Improvement
  • Analyze logistics data to identify cost-saving opportunities.
  • Implement best practices to streamline export-import operations.

Qualifications & Experience

  • Education: Bachelor's Degree in International Business, Supply Chain Management, Logistics, or a related field.
  • Experience: 3–7 years of experience in import/export operations or logistics management.
  • Skills:
  • Strong knowledge of customs procedures, and trade documentation.
  • Proficiency in MS Office and ERP systems (SAP, etc.).
  • Excellent communication, negotiation, and problem-solving skills.
  • Ability to work under pressure and handle multiple shipments simultaneously.
  • Familiarity with trade compliance and foreign exchange regulations.
