Position Title: Vendor Compliance Specialist

Location: Remote (Pakistan-based) | Company Location: Dallas, TX (USA)

Work Hours: 6:00 PM to 3:00 AM PKT (U.S. Central Time)

Job Type: Full-time

Overview:

We are seeking a meticulous and proactive Vendor Compliance Specialist to support our finance and operations teams. This role focuses on vendor payment coordination, utilities processing, invoice coding in Entrata, and end-to-end vendor management. As the analyst grows in the role, they will support supply chain strategy, including vendor sourcing, cost benchmarking, and lifecycle management.

Key Responsibilities:

Invoice & Payment Processing

  • Code and upload all vendor invoices and receipts into Entrata.
  • Track utilities and ensure timely payment to avoid late fees or service disruptions.
  • Match invoices to purchase orders and contracts for compliance.

Vendor Management

  • Maintain accurate vendor records (W-9s, COIs, contracts) and update documents regularly.
  • Ensure vendor compliance in Entrata; flag and resolve documentation gaps.
  • Communicate with vendors to collect outstanding invoices or documentation.

Vendor Sourcing & Analysis

  • Conduct price comparisons for services across properties.
  • Identify cost-effective vendors and propose replacements where needed.
  • Assist in onboarding/offboarding vendors in Entrata.
  • Support procurement tasks and future supply chain initiatives.

Reporting & Collaboration

  • Monitor vendor payment timelines and provide weekly AP summaries.
  • Flag invoice irregularities and support the Bookkeeper and Controller with financial closes.
  • Liaise with property teams for service feedback and vendor issue resolution.

Requirements:

· –3 years of finance / supply chain.

·       Familiarity property management systems is a plus

·       Strong Excel and documentation skills.

·       Detail-oriented with the ability to manage multiple properties/vendors simultaneously.
