Key Responsibilities1. Front Desk & Client Management
- Welcome and assist clients in a professional and courteous manner.
- Manage client inquiries via phone, email, and walk-ins.
- Maintain confidentiality and ensure a positive client experience.
2. Session Handling & Booking
- Manage daily appointment schedules for therapists and clients.
- Confirm, reschedule, or cancel bookings as required.
- Allocate session rooms based on booking requirements.
3. Coordination with Therapists & Clients
- Act as a communication bridge between therapists and clients.
- Provide timely updates regarding session timings, changes, or delays.
- Maintain a respectful and professional relationship with all stakeholders.
4. Financial Handling & Reporting
- Record all daily sales transactions accurately.
- Manage cash handling and ensure secure deposits to the bank on a daily basis.
- Share daily financial updates and deposit reports with the Accounts Team.
5. Office Operations & Reserves
- Monitor availability of therapy rooms and office resources.
- Maintain office supplies, stationery, and refreshment stocks.
- Report office maintenance or operational needs to management.
6. Daily Opening & Closing Duties
Opening:
- Prepare reception and waiting areas before clients arrive.
- Ensure session rooms are clean and equipped.
- Verify the daily booking schedule.
Closing:
- Secure cash, lock rooms, and switch off appliances.
- Prepare and submit day-end reports.
- Ensure the office is safe and ready for the next day.
Qualifications & Skills
- Minimum Bachelor's degree or equivalent.
- Proven experience as a receptionist or in an administrative role (preferred).
- Strong communication and interpersonal skills.
- Basic knowledge of cash handling and record-keeping.
- Proficiency in MS Office (Word, Excel, Outlook) and familiarity with booking software.
- Ability to handle pressure, multitask, and maintain confidentiality.

- As per office schedule (including weekends if required).
