Job Description:

We are seeking a proactive and detail-oriented Export Documentation Officer to join our team. This role involves efficient shipment planning, timely communication with carriers and shippers, and meticulous handling of shipping documentation. The ideal candidate will possess strong organizational skills, excellent communication abilities, and proficiency in relevant shipping software.

Responsibilities:

Collaborate with the customer service team to receive advance shipment planning and meet carrier deadlines.

Follow up with shippers/exporters to gather necessary details to fulfill carrier requirements.

Submit shipping instructions to carriers/co-loaders via the online portal or email.

Request MBL drafts from shipping carriers/co-loaders.

Send pre-alerts and manifests to overseas agents within specified time frames.

Verify and ensure the accuracy of HBL/MBL details per shipper requirements.

Track VGM filings on the carrier's online portal.

Follow up with courier services (TCS for inland, DHL for overseas) for invoices and ensure timely payments.

Track document dispatch for local customers and overseas agents, providing email notifications.

Coordinate with team members regarding invoicing, applicable charges, and HBL creation/updates as requested by shippers.

Monitor outstanding payments and follow up as directed by management.

Ensure timely processing of vessel-to-vessel files.

Proficiently operate Climax software.

Exhibit excellent verbal and written communication skills.

Qualifications:

Previous experience in a similar role preferred.

Strong organizational and time management skills.

Ability to work under pressure and meet tight deadlines.

Proficiency in Climax software preferred.

Bachelor's degree.
