This role is responsible for overseeing and coordinating day-to-day administrative operations to ensure the smooth functioning of the organization. The role involves managing facilities, procurement, logistics, vendor coordination, record management, and supporting internal departments to maintain operational efficiency.

Key Responsibilities:

Supervise and manage general office administration, facilities, and maintenance activities.

Coordinate with vendors and service providers for office supplies, utilities, repairs, and maintenance contracts.

Oversee travel and accommodation arrangements for staff and guests.

Manage company assets, inventory records, and ensure timely maintenance of equipment.

Support HR and finance departments in administrative documentation and record-keeping.

Implement and monitor administrative policies, procedures, and compliance standards.

Ensure workplace safety, cleanliness, and security protocols are maintained.

Manage office transport logistics, drivers, and vehicle maintenance schedules.

Handle petty cash and ensure proper documentation and reporting.

Assist management in event planning, meetings, and coordination of internal/external visits.

Monitor office expenses, identify cost-saving opportunities, and maintain budget control.

Execute end-to-end procurement processes — from purchase requisition to vendor payment.

Source, evaluate, and negotiate with suppliers to ensure quality, timely delivery, and cost efficiency.

Maintain and update the approved vendor list and procurement database.

Qualifications and Experience:

Bachelor's degree in Business Administration, Management, or a related field (Master's preferred).

3–5 years of experience in administration, preferably in a corporate or healthcare/industrial setup.

Strong organizational, communication, and problem-solving skills.

Proficient in MS Office (Excel, Word, PowerPoint) and administrative software tools.

Ability to handle multiple tasks and prioritize work efficiently.
