HR / Accounts INTERN (PAID INTERNSHIP):
What we require:
Accounts assistants provide administrative support to accountants, undertaking clerical tasks such as typing, filing, making phone calls, handling mail and basic bookkeeping. Preparing statutory accounts. Calculating and checking to make sure payments, amounts and records are correct. You're a self-starter who is eager to learn and wants to become a foundational part of our Accounting team. You're an adaptive learner who is hardworking and proactive.
Following reports and procedures must be share on time:
1-Start at 12:00 PM and end the shift at 09:00 PM From Monday to Friday.
2-Start at 10:00 AM and end the shift at 06:00 PM on Saturday.(Alternate)
3-Share daily TO-DO list and DONE-TO-DO list (at end of the shift) at Skype group on time.
4-Accounts/Admin will check updates on all systems from 12:00 PM to 09:00 PM and oversee the issues if any on the starting of the shift.
5-Keep an open eye over official rules and policies and make sure they must be followed by everyone.
6-All employee's daily leave and absent report and update to senior management.
7-All employee's monthly performance evaluation report
8-Share balance sheet reports 3 times in a week with Mr Azhar.
9-Share head wise reports 3 times in a week with Mr Azhar.+++
10-Share bank statement reports 2 times in a week with Mr Azhar.+++
11-Update inventory report 2 times in a month and update to senior management.+++
12-All Employees' daily break timings report and making sure hours are adjusted accordingly deduction of pays and other stuff will be structured.
13-Company economical report with help of project manager for cross evaluation on monthly basis.
14-Management asana needs to be updated on a regular hourly basis.+++++
15-Preparing building security measures like CCTV monitoring on a regular basis.
16-Old employees and new employees databases must be maintained and shared on a weekly basis
17-Making sure to prepare a TO-DO list of current and next working days for all members in the management department.
18-Management work check on daily basis like building maintenance and renovation
19-Office boys tasks like office cleaning, managing all the kitchen related works, outdoor works.
20-All Monthly, Weekly, Daily reports must be shared with HR Manager and Project Manager on their prescribed times+++++++
21-Assigning Office boy tasks and taking reports over them.
22-CCTV camera reset and recover and password
23-Assist with Financial reporting and monthly closing procedures
24-Provide support for the Human Resources or IT departments as directed by the HR & Project Managers.
25-Must manage all documents into relevant folders and data must be organised.
26-All Financial records of current employees, advance loan , advance monthly deduction
27-Visit bank for salary cheque, cheque books and Utility Bills.
Responsibilities:
Accounts:
1-Data entry (legal documents, petty cash, budgeting, etc)
2-Creating and updating spreadsheets of daily transactions.
3-Managing accounts, receivable and payable.
4-Maintain reports on financial metrics, including investments, return on assets, and growth rates.
5-Keep records of invoices and tax payments.+++++
6-Participate in payroll processes with the help of HR Manager
7-Qasim and co all legal and infrastructure and documents.+++++
8-Accounts-related and key holders detail audit.
9-Petty cash, cost control, budgeting detail audit, and all physical filing detail checkup.
10-To ensure the financial rules of the company that employees them are followed.+++
11-To prepare accounts for payments received and purchases made by the organization
12-Handles day to day incomes and expenditures ++++++
13-Preparation of financial reports summarizing and estimating the organization's financial position such as income statements, balance sheets, and analyses of future earnings and income.++++
14-Processing of sales invoice.+++++
15-Order stationery and monitor usage of stationery
16-Keep financial records and perform financial procedures (e.g., receipts, payments requests, and petty cash).
17-Assist the organization and management of internal and external audits.
18-Ensure expenses are authorized (By HR Manager & Sir Azhar) and processed in accordance with agreed procedures..
19-Ensure agreed reporting dates are maintained.
20-Reconcile transactions on the computer and bank statements and ensure that all accounts balance (Silk Ba
21-Ensure bank and petty cash transactions are recorded on a daily basis.
22-Coach and train field staff in all matters regarding financial reports
23-Review payment vouchers, bank & petty cash control sheets
24-Take responsibility for the maintenance of all office equipment.
25-Preparing and developing budgets and forecasts in collaboration with the CEO and budget holders ++++
26-Overseeing contracts and terms of contracts for Employees, Interns.
27-Keep an eye on the charges of Electric, telephone provider, IT support, and other contracts related to office maintenance
Skills:
Excellent Communication, Interpersonal, Problem-solving, Punctuality, and critical thinking skills
Knowledge of HR systems and databases
Ability to architect strategy along with leadership skills
Excellent listening, negotiation, and presentation skills
Capability to build and effectively manage interpersonal relationships at all levels of the company
In-depth knowledge of labour law and HR best practices
Proven work experience as a Finance Administrator, Finance Assistant or similar role
Hands-on experience with accounting software
Advanced knowledge of MS Excel (creating spreadsheets and charts and using financial Excel functions)
Good understanding of the laws related to tax, insurance, etc.
Time-management and organization skills
Confidentiality
BSc./B.S degree in Finance, Accounting, CS or Economics.
Experience in setting up new accounting systems.
Experience in book-keeping and computerized accounting system
Experience in making improvements to financial systems
Location: DHA 2 , Islamabad Pakistan
SALARY PACKAGE : 30,000 per month.
Timings: 12:00 PM to 09:00 PM
