We're looking for a Client Operations Executive to join our dynamic team and serve as the vital link between clients, sales, and operations.
Role Overview:
The Client Operations Executive will be responsible for managing the entire client journey, from onboarding and documentation to movement fulfillment, invoicing, and relationship management. The role requires strong coordination, communication, and follow-up skills to ensure smooth client experiences and operational efficiency.
Responsibilities:
1. Client Onboarding & Documentation
- Ensure seamless transition of newly converted clients from the sales team.
- Verify and document signed contracts and KYC checklists.
- Add clients to internal systems and trackers accurately.
2. Demand Generation & Relationship Management
- Build and maintain strong working relationships with onboarded clients.
- Actively follow up to generate demand for movement (vehicle requests).
- Serve as the primary point of contact for all client-side communication.
3. Quotation & Rate Fulfilment
- Coordinate with operations and supply fulfillment teams to gather market-based rates swiftly.
- Track time taken from rate request to client quote.
- Provide clients with accurate, timely quotations.
- Maintain a fulfillment accuracy tracker, ensuring quoted rates are successfully executed.
4. Conversion Follow-up & Move Locking
- Follow up with clients to convert quotations into confirmed bookings.
- Ensure timely job confirmation, dispatch, and coordination with operations.
- Monitor execution and resolve client-side issues during ongoing moves.
- Handover confirmed jobs smoothly to the operations team.
5. Invoicing & Collections
- Work with the finance team to prepare and share invoices for completed movements.
- Track invoice ageing and follow up proactively for payments.
- Maintain regular communication with clients regarding pending dues and reconciliations.
Requirements:
- Bachelor's degree in Business Administration, Supply Chain, or related field.
- 2–4 years of experience in client servicing, logistics coordination, or B2B operations (preferred).
- Strong communication, negotiation, and relationship management skills.
- Excellent command of MS Excel and CRM tools.
- Ability to multitask and handle client operations efficiently in a fast-paced environment.
- Strong attention to detail and follow-up discipline.
