Background & Purpose of the assignment:
As the designated lead agency of the Logistics Cluster by the Inter-Agency Standing Committee (IASC), the World Food Programme (WFP) plays a pivotal role in facilitating humanitarian logistics coordination and information management globally. In Pakistan, WFP leads the Logistics Working Group (LWG), a coordination platform that supports humanitarian actors in addressing common logistics challenges and enhancing operational efficiency. The Pakistan LWG, while not an activated cluster, serves as a critical mechanism for harmonising logistics efforts, promoting information exchange, and ensuring that partners have access to timely, reliable, and actionable logistics information.
In addition to this, since 2015, WFP Pakistan has provided cost-recovery logistics services (On Demand Services - ODS) to UN agencies, International NGOs, and provincial government departments. Leveraging its existing infrastructure in major cities (Karachi, Peshawar, Quetta, Lahore, Muzaffarabad, Islamabad), WFP enables partners to focus on core activities while benefiting from cost savings, efficiency, and reliable humanitarian-aligned services.
The Information Managemet Assistant will contribute to the Logistics Working Group efforts by producing and disseminating key IM products, supporting coordination activities, and enabling evidence-based decision-making across the humanitarian logistics community; and will also support the IM activities of the ODS team.
Accountabilities / Responsibilities:
- The IMA will support the collection, analysis and disseminationg of logistics information, in close coordination with logistics and information personnel of other UN organisations and NGOs involved in the humanitarian response, and national authorities.
- Produce logistics sector products/reports as required within the operation. Key products include: situation updates, bulletins, snapshots, briefings, situation updates.
- Liaise with humanitarian partners, and national counterparts to gather information for the production of daily sitreps and weekly bulletins, ensuring that challenges and concerns relating to the logistics operation are represented.
- Gather information on the overall logistics situation in crisis areas, including data on logistics procedures and bottlenecks from the various logistics partners and national authorities.
- Support drafting donor proposals and reports, collating key operational information and provide support as required, including, Flash Appeal, IRA, CERF, ECHO, and others.
- Prepare operational overview, briefings, presentations and snapshots on the logistics operations for donors, Humanitarian Country Team, Office of the Humanitarian Coordinator and other stakeholders.
- Support coordination activities of the Logistics Working Group by mantaining contact and mailing lists, supporting the organization of coordination meeting and taking meeting minutes.
- Support the operational delivery of ODS services, ensuring timely and quality service provision to WFP clients and partners.
- Organise and maintain accurate records of ODS-related documentation and data.
- Assist in the preparation of invoices and official correspondence, under the guidance of the supervisor.
- Coordinate regularly with the Country Office ODS Unit to align on client requirements and operational updates.
- Monitor and manage ODS data, including tracking agreement renewals and outstanding payments.
- Maintain up-to-date records of Service Level Agreements (SLAs), Pro Forma Invoices (PFIs), and issued invoices.
- Keep an updated database of ODS partners, disaggregated by location.
- Monitor the Service Marketplace (SMP) platform and flag pending actions requiring follow-up.
- Identify inconsistencies or discrepancies in data and report them for corrective action.
- Maintain internal information sharing mechanisms, documentation formats, assessment formats, central file store, according to WFP guidelines and standardisation.
- Recognise and assess the sensitivity of information obtained; Respect the confidential nature of sources of information where relevant.
- Ensure all publications are in line with WFP standards and templates.
Experience:
Education: University degree in economics, social sciences, international relations, or related field; or the equivalent combination of education and experience
Experience: 3 years of professional experience in an international context including: responsibility in information management, communications and/or reporting roles; experience with reporting/tracking systems; working in an emergency response. Previous experience in emergencies is important.
Knowledge & Skills: Excellent written and verbal communications skills; high attention to detail and proofreading ability; good research and analytical skills; ability to meet deadlines and work under pressure as part of a team; good communication skills; ability to work independently while asking questions and seeking support in a fast-paced work environment. Proficiency in the Microsoft Office package and ability to mandate and interpret data.
Language: Fluency in English and Urdu is required.
