Personal Secretary to the Managing Director

Position Summary:

The Secretary to the Managing Director will provide comprehensive executive, administrative, and organizational support to the MD, ensuring the efficient management of the MD's office. The role demands confidentiality, professionalism, excellent communication, and the ability to manage multiple priorities in a fast-paced manufacturing environment.

Key Responsibilities:

Executive Assistance & Coordination

  • Manage the MD's daily schedule, appointments, meetings, and travel arrangements.
  • Serve as the first point of contact for internal and external communications addressed to the MD.
  • Draft, review, and manage correspondence, reports, and presentations.
  • Coordinate meetings, prepare agendas, record minutes, and ensure follow-up on key actions.

Office & Administrative Management

  • Maintain efficient filing systems and ensure timely retrieval of information.
  • Handle confidential documents and information with the utmost discretion.
  • Liaise with senior management, departmental heads, and external stakeholders as directed by the MD.
  • Organize local and international travel, hotel bookings, and logistical arrangements.

Information & Communication Support

  • Screen phone calls, emails, and correspondence, prioritizing matters for the MD's attention.
  • Draft official letters, memos, and notices on behalf of the MD.
  • Maintain records of key decisions, directives, and approvals issued by the MD.

Follow-up & Coordination

  • Track implementation of decisions taken by the MD and ensure timely progress reports.
  • Coordinate with departments for submission of reports, data, and information required by the MD.
  • Assist in preparation of presentations, business briefs, and review material for meetings.

Qualifications & Experience:

  • Bachelor's or Master's degree in Business Administration, English, or related discipline.
  • 5–10 years of relevant experience in executive or secretarial roles, preferably in a manufacturing or corporate environment.
  • Excellent command over written and spoken English.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook).
  • Strong organizational and time-management skills with attention to detail.
