About the Role
We're looking for a systems-driven, tech-fluent, and detail-obsessed Executive Assistant / Operations Assistant to join our client, a fast-growing Tax & Finance Coaching and Consulting firm in the United States.
This isn't your typical admin job. You'll serve as the operational backbone of the business; optimizing workflows, documenting SOPs, implementing automation systems, and ensuring every part of the operation runs like clockwork.
The ideal candidate is someone who understands how to blend operations, automation, and AI tools to improve efficiency, save time, and create scalable systems. You'll report directly to the founder and work across multiple departments (marketing, client delivery, and operations).
Key Responsibilities:
Operations & Administrative Management
- Manage all daily administrative and operational functions; scheduling, documentation, follow-ups, and reporting.
- Maintain organized digital records, folders, and task boards across multiple tools.
- Serve as the founder's right hand; anticipate needs, handle communication, and proactively resolve issues.
Process Optimization & SOPs
- Audit existing workflows, identify inefficiencies, and build standardized SOPs for every recurring process.
- Create visual process maps for operations, marketing, and client management.
- Continuously improve systems for client onboarding, scheduling, reporting, and communication.
Automation & AI Systems
- Build and manage automation workflows using GoHighLevel (GHL), Zapier, or Make (Integromat) to streamline tasks like lead follow-up, scheduling, reminders, and reporting.
- Use AI tools (ChatGPT, Notion AI, etc.) to automate document creation, task summaries, and CRM updates.
- Develop internal dashboards and automations to track key metrics and deliver reports efficiently.
- Troubleshoot automation issues and maintain a documented database of all workflows.
CRM & Project Management
- Oversee GoHighLevel CRM; pipeline tracking, campaign setup, automations, client tagging, and reporting.
- Manage boards; assign tasks, track deadlines, and ensure deliverables.
- Support lead management, client communication workflows, and marketing funnel coordination.
Client & Team Coordination
- Communicate with clients professionally when needed (scheduling, onboarding, follow-up).
- Coordinate with team members to ensure timelines and deliverables are met.
- Handle documentation, contracts, and file sharing with accuracy and confidentiality.
Requirements
- 2–4 years of experience in Operations, Executive Assistance, virtual assistant (VA) or Admin roles (preferably remote for US or Uk based clients).
- Proven experience with GoHighLevel (GHL) — automation setup, workflow management, pipelines, and campaign creation.
- Hands-on experience with automation tools (Zapier, Make, Airtable Automations, etc.).
- Familiarity with AI tools (ChatGPT, Claude, Notion AI, etc.) and ability to integrate them into daily work.
- Proficiency with for project tracking.
- Excellent English communication (both written and verbal).
- Strong analytical and organizational skills — able to manage multiple tasks without dropping details.
- Availability to work 9 AM to 6 PM Eastern Standard Time (USA).
Nice-to-Have Skills
- Experience in finance/tax-related businesses.
- Understanding of sales funnel automations, client journey mapping, or CRM analytics.
- Exposure to AI automation platforms designed for automations and productivity.
- Basic understanding of business metrics (e.g., MRR, retention rate, conversion rate).
- Understanding of US Tax laws (So if you are an ACCA or CA who understand american tax laws and bookkeeping, that will be amazing but not a necessary requirement).

You've built clear, automated workflows that reduce manual work by 50%.
The founder's day runs seamlessly, no missed meetings, no chaos.
Every process has a documented SOP.
The CRM and project boards are clean, accurate, and actionable.
You think in systems, not tasks.
Compensation & Growth
- Competitive salary (based on experience and automation skills) Ranging from 100k PKR to 150K PKR + Performance Bonuses.
