Job Title: Executive Assistant
Reports To: Chief Executive Officer
Job Type: Full-time, Onsite
Work Hours: Night Shift, 9:00 PM – 6:00 AM PKT
The Executive Assistant plays a vital role in supporting the Chief Executive Officer and senior management team by providing high-level administrative and organizational assistance. This position ensures the smooth execution of daily operations, effective communication, efficient scheduling, and coordination of projects. The role requires professionalism, discretion, and the ability to manage multiple priorities in a fast-paced environment.
Key Responsibilities- Administrative Support: Provide comprehensive administrative assistance to the CEO and leadership team, including managing calls, drafting correspondence, and organizing meetings.
- Calendar & Scheduling: Coordinate and manage calendars, appointments, meetings, and travel arrangements.
- Document & Records Management: Prepare, review, and maintain accurate reports, presentations, and records for management.
- Communication Liaison: Act as a primary point of contact between management and internal/external stakeholders, ensuring clear and timely communication.
- Project Coordination: Assist with planning, monitoring, and execution of projects to ensure objectives and deadlines are met.
- Meeting Management: Prepare agendas, take detailed minutes, and follow up on action items.
- Confidentiality: Manage sensitive and confidential information with the utmost professionalism.
- Task Prioritization: Effectively prioritize and manage tasks to support management goals.
- Logistics Management: Oversee and handle all logistics related to the CEO's activities.
- Workflow Control: Organize and streamline processes to ensure operational efficiency.
- Other Duties: Perform additional responsibilities as assigned by the CEO or senior leadership.
- Education: Bachelor's degree in Business Administration, Management, or a related field (preferred).
- Experience: Prior experience as an executive assistant, office manager, or in a similar administrative support role is advantageous.
- Organizational Skills: Strong ability to manage multiple tasks and prioritize effectively.
- Communication Skills: Excellent verbal and written communication skills.
- Technical Proficiency: Skilled in Microsoft Office Suite (Word, Excel, PowerPoint), email platforms, and scheduling tools.
- Attention to Detail: Ability to work with accuracy and precision.
- Problem-Solving: Strong analytical and problem-solving skills to address unexpected challenges.
- Ability to perform under pressure in a fast-paced environment.
- Prior experience in a similar industry is a plus.
