
Executive Assistant

We are seeking a proactive and highly organized Executive Assistant to provide top-level administrative support and ensure the smooth functioning of the CEO's office. This position requires excellent communication skills, attention to detail, and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate will serve as a trusted partner to the CEO, handling confidential information with utmost discretion.
Key Responsibilities:Administrative Support:
- Manage the CEO's calendar, appointments, and meetings, ensuring optimal time management.
- Coordinate travel arrangements, including flights, accommodations, and itineraries.
- Prepare and edit correspondence, reports, presentations, and other documents.
Meeting Coordination:
- Organize and coordinate executive meetings, including scheduling, agenda preparation, and minute-taking.
- Follow up on action items and ensure deadlines are met.
- Liaise with internal and external stakeholders on behalf of the CEO.
Strategic Support:
- Assist in prioritizing and managing key projects and deliverables.
- Conduct research and compile data to support decision-making and presentations.
- Act as a gatekeeper for incoming communications, prioritizing and escalating matters as necessary.
Relationship Management:
- Maintain professional relationships with clients, board members, and other stakeholders.
- Serve as the primary point of contact for the CEO's office, ensuring effective communication and follow-up.
Office Management:
- Oversee the organization and maintenance of files, documents, and records.
- Handle expense reporting and budget tracking for the CEO's office.
- Support the CEO in personal tasks and errands when required.
Education:
- Bachelor's degree in business administration, Communications, or a related field.
Experience:
- 5+ years of experience in an Executive Assistant role, preferably supporting C-level executives.
- Proven track record of managing confidential information with integrity.
Skills:
- Exceptional organizational and time-management skills.
- Strong verbal and written communication abilities.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to multitask and prioritize under pressure.
- High level of professionalism and discretion.
- Strong problem-solving skills with a proactive approach.
- Attention to detail and a commitment to excellence.
- Ability to work independently and as part of a team.
- Flexible and adaptable to changing priorities.
