Job Brief:

The Admin Executive will be responsible for overseeing company vehicle management, ensuring proper maintenance, allocation, and compliance with policies. The role includes handling complete travel arrangements such as hotel bookings, air, bus, and train ticketing. Additionally, the executive will manage day-to-day fleet operations to ensure efficiency and cost-effectiveness.

Responsibilities
  • Drive the day-to-day activities to ensure the accuracy, governance, and maintenance of company SOPs.
  • Respond to co-workers, and all departments in a cooperative, constructive and timely manner regarding all queries.
  • Manage comprehensive fleet operations within the Finance Division to optimize efficiency and control costs.
  • Coordinate vehicle leasing, insurance handling, and preventive maintenance schedules. Maintenance, inspections, and repairs of all company vehicles.
  • Interface with departments and vendors to ensure service delivery and operational compliance. Monitor fuel efficiency, vehicle logbooks, and performance reports.
  • Utilize tracking systems and prepare performance analytics and fleet reports.
  • Supervise driver assignments and ensure compliance with safety and maintenance standards.
  • Direct reporting of drivers and technicians and manage their attendance, late sittings, new hiring and roasters.
  • Process travel requests & expense claims.
  • Arrange air ticketing and accommodation for employees & clients.
  • Compile nationwide expense sheets for management review (Petty Cash, Office R/M, Fleet R/M, Utility Bills and Gen-sets).
Qualifications
  • Familiar with Fleet Management, fuel and maintenance tracking.
  • Experience in creating and implementing SOPs regarding fleet and travel.
  • Proactively keep vendors/agents aligned for any sort of maintenance or travel.
  • Pro-efficient in Excel, Zendesk and other tools required to run the operations smoothly.
  • Experience: 2-4 years of experience (maximum 2 years or fleet managing).
  • Education: Bachelor's or Master's in business administration.
