About the Role: The main responsibility will be to manage the overall Hard and Soft Services within the client premises that include external vendor management, internal team management, H&S Management, Financial management and most importantly client stakeholder management as per the CBRE Standard Operating Procedures.

What You Will Do
  • Ensure building hard services are managed per CBRE and industry standards (MEP, HVAC, Fire System, Elevators and Security equipment, Generator sets, UPS System and building fabric).
  • Manage building soft services per CBRE standards.
  • Ensure all preventive and corrective maintenance are completed according to schedule and on an as-needed basis with no failures.
  • Keep internal and external client key people in the loop for maintenance activities to avoid surprises to the business.
  • Manage external vendors in coordination with the sourcing team, including vendor visits for all PPM and reactive maintenance, vendor QHSE management, work completion, vendor payments in coordination with Finance and other stakeholders.
  • Assist the Facilities Manager with asset surveys and condition surveys of critical/non-critical assets installed at the facility.
  • Manage front desk activities and lead service excellence; provide professional greeting and manage records of service requests and status.
  • Maintain CBRE and Client HSE documents for audit purposes; respond promptly with accurate information.
  • Arrange and confirm recreational, dining, and/or business activities; act as point-of-contact for the facilities team as representative of the Workplace Concierge team.
  • Follow security and emergency procedures; respond to emergencies calmly and notify appropriate personnel per operating procedures.
  • Provide personal services to employees and guests (transport, travel arrangements, office wayfinding, visitor management, reception, refreshments, campus tours, reservations, shipping, car services, laundry, gifts and packages, etc.).
  • Support the Facilities Manager in preparing GAP reports of the walkaround with Tech teams.
  • Train and guide vendors on CBRE PO creation tools and related processes.
  • Possess working knowledge of Health and Safety procedures and implement on-site.
  • Establish and maintain good working relationships with all CBRE Managed Services employees and client representatives; promote CBRE services and corporate values.
  • Ensure subcontractors are supervised, comply with contractual commitments, and follow site operating processes.
  • Improve site compliance and manage the site logbook system; receive and resolve client issues without disrupting business or harming client relationships.
  • Be prepared for inclusion on a call-out rota for out-of-hours emergency response.
What You Will Need

SUPERVISORY RESPONSIBILITIES
Role primarily supervises vendors and the CBRE technical team to meet objectives per the SLA/KPI with the client with no exceptions.

EDUCATION AND EXPERIENCE

  • Must be educated with at least a bachelor's degree.
  • A minimum of 5 years of experience, preferably in the FM industry.

COMMUNICATION SKILLS

  • Ability to comprehend and interpret instructions, short correspondence, and memos; ask clarifying questions to ensure understanding; ability to write routine reports and correspondence.

FINANCIAL KNOWLEDGE

  • Any experience or knowledge in Finance is a must for this role.

REASONING ABILITY

  • Ability to understand and carry out general instructions in standard situations; ability to solve problems in standard situations with basic analytical skills.

OTHER SKILLS AND/OR ABILITIES

  • Microsoft Office Suite with strong Excel, PowerPoint, and Windows proficiency.
  • Basic knowledge of HSE documents, e.g., RAMS.
