The Division

Constellation1, a part of Constellation Perseus Operating Group, is a real estate marketing company that provides industry leading top real estate websites, mobile technologies, interactive voice response systems, and home builder marketing services.

The Position

We are seeking an Operations Associate who will play a key role in ensuring the integrity, accuracy, and quality of data across critical business functions. This position is ideal for a detail-oriented professional who thrives in a fast-paced, highly collaborative, and data-driven environment. The ideal candidate will not only execute daily compliance operations with precision but also contribute to the continual enhancement of data processes, vendor relationships, and financial reconciliations. Your ability to identify patterns, drive resolutions, and communicate effectively with stakeholders will directly influence operational efficiency and data accuracy across the organization.

Key Responsibilities

• Lead the onboarding and offboarding processes of MLS and other data vendors, ensuring compliance with data agreements and internal standards.
• Serve as the primary point of contact for data vendors, establishing strong working relationships and ensuring timely issue resolution.
• Coordinate cross-departmental workflows to streamline data acquisition, access control, and decommissioning efforts.
• Maintain accurate, real-time client and vendor records within internal CRMs across multiple business units.
• Collaborate with internal teams to ensure CRM data reflects current business activity and vendor status.
• Maintain detailed, audit-ready case notes for all customer and vendor interactions.
• Work within shared inboxes, remote systems, and multiple platforms (including SharePoint and CRMs) to resolve support cases efficiently.
• Investigate discrepancies in MLS and client billing reports, escalating significant variances with contextual summaries and recommendations.
• Compile client-specific reports for billing validation, compliance, and audit purposes.
• Identify recurring data or compliance issues and proactively recommend process enhancements.
• Support management in monitoring data quality KPIs and vendor performance metrics.

Required Skills And Core Competencies

• Proficient in Microsoft Excel, with the ability to use pivot tables, lookups, and basic formulas to identify data inconsistencies.
• Strong working knowledge of Outlook, SharePoint, and CRM platforms (e.g., Salesforce, Zoho, HubSpot).
• Demonstrated email-based communication expertise, with an ability to explain complex issues clearly and professionally.
• Exceptional analytical skills and attention to detail, with a data-first mindset.
• Proven ability to multitask across competing priorities and deadlines while maintaining data accuracy.
• Strong sense of accountability and ownership over assigned tasks and process outcomes.
• Proactive, solution-oriented attitude with a continuous improvement mindset.

Work Shift Timings

8 AM to 5 PM Eastern Standard Time (6 PM to 3 AM Pakistan Standard Time)
