Job Title: Grant Writer

We are looking for a Grant Writer to join our USA-based organization. This role is ideal for a detail-oriented professional with strong written communication skills, experience using AI tools (such as Copilot/ChatGPT), and a solid understanding of how to research for grants. We seek a self-motivated individual who can work independently with minimal supervision.

As grants are time-sensitive, reliability, organization, and the ability to meet strict deadlines are critical for success in this role.

Key Responsibilities:

  1. Conduct comprehensive research on local, state, federal, private, & foundation grants.
  2. Identify new grant opportunities, assess eligibility criteria, and funding requirements.
  3. Analyze the feasibility of applying for grants and contracts while ensuring compliance.
  4. Develop and submit persuasive, tailored grant proposals that align with funding goals.
  5. Customize proposals to meet the specific requirements of funding organizations.
  6. Ensure accuracy, clarity, and adherence to all grant guidelines and submission criteria.
  7. Collaborate with cross-functional teams to gather necessary data.
  8. Prepare detailed and accurate budgets for grant applications.
  9. Maintain a tracking system for grant deadlines, submissions, and funding statuses.
  10. Develop and submit compliance reports to funders for transparency and accountability.
  11. Track progress of submitted proposals, follow up with agencies, and manage revisions.
  12. Ensure full compliance and maintain necessary documentation for audits and reporting.
  13. Coordinate requirements with contributors and provide proposal status information regularly, including executive summaries, conclusions, and organization credentials.
  14. Maintain quality results by using templates; following proposal-writing standards, including readability, consistency, and tone; and maintaining proposal support databases.
  15. Improve proposal-writing results by evaluating and re-designing processes, approach, coordination, and boilerplate.
  16. Maintain accurate records of past and present grant opportunities, deadlines, and proposals.

Qualifications & Skills:

  1. Proven experience (3+ years) in grant writing, research, and proposal development.
  2. Exceptional written English skills with strong attention to detail.
  3. Proficiency with AI tools like Copilot, ChatGPT, or other content generation platforms (including LaTeX).
  4. Strong research and analytical skills with the ability to evaluate funding opportunities.
  5. Ability to manage multiple deadlines and work effectively under pressure.
  6. Knowledge of budgeting and financial reporting for grant applications.
  7. Self-driven, independent worker with excellent time management skills.
  8. Strong collaboration skills to coordinate with cross-functional teams.
  9. Ability to communicate technical information to non-technical audiences.
  10. Proficiency in Microsoft Office Suite tools.
  11. Bachelor's degree in communications, English, or a related field. Preference is given to candidates with a master's degree.
  12. Experience working in deadline-driven environments.

Financial Monitoring and Coordination:

  1. Manage grant award allocation, distribution, and internal characterization in coordination with the Regional Controller(s) and the Donor Services Staff.
  2. Monitor and track grant revenue and projections for the Grant Unit.
  3. Identify and review pledge notifications and cash receipts (checks, wire transfers) and provide directions for gift processing.
  4. Prepare and distribute grant income reports on a regular basis, including actual and projected income and balances remaining on pledges.

Grant Unit Operations:

  1. Oversee day-to-day management of the grant unit.
  2. Provide general administration, data tracking, staff management, and technology needs.
  3. Develop and maintain standard grant management procedures and provide ongoing communication and training for grant unit staff.
  4. Coordinate special projects, which may include managing interns, small grant applications, and developing Salesforce best practices.
