We are hiring a highly organized and proactive Assistant Manager – Operations to support the day-to-day functioning of our visa consultancy and study abroad services. This role will involve managing workflow execution, overseeing client service delivery, ensuring timely visa and admission processing, and coordinating internal and external teams.

The ideal candidate will act as the right hand to senior management, ensuring operational excellence across departments including visa filing, student admissions, HEC/ECA/documentation, and marketing support.

Key Responsibilities:

Client Workflow & Case Management

  • Monitor the progress of visa and study abroad cases (Canada, US, UK, Schengen, UAE, etc.)
  • Ensure timely collection, preparation, and submission of client documents
  • Follow up with clients regarding pending tasks, biometrics, interviews, and missing files
  • Assign tasks to case officers and review files before submission for accuracy

Team Coordination & Internal Communication

  • Act as liaison between counseling, visa processing, content, and marketing teams
  • Maintain updated case logs, operational calendars, and team task boards
  • Ensure SOP compliance across departments for document filing, client communication, and embassy requirements

Documentation & Embassy Support

  • Oversee execution of HEC attestation, WES, ECA, translations, and courier processes
  • Ensure proper tracking and quality control of all submitted documents
  • Communicate with third-party services (e.g., notary, translation offices, courier partners)

Client Service Oversight

  • Assist in handling client queries with clarity and professionalism
  • Ensure clients receive timely updates and guidance during their process
  • Identify and escalate urgent or sensitive cases to senior management

Process Improvement & Reporting

  • Analyze bottlenecks in workflow and recommend improvements
  • Prepare weekly operational reports and KPI summaries for management review
  • Assist in training and onboarding of junior staff or interns

Qualifications & Skills:

  • Bachelor's degree (Business, International Relations, or related field)
  • 2–3 years experience in operations or administrative support, preferably in immigration or education consultancy
  • Strong project management and organizational skills
  • Fluent in English and Urdu, with excellent communication and documentation skills
  • Proficient in MS Office, Google Workspace, and CRM tools
  • Able to manage pressure, deadlines, and multiple priorities at once
  • Knowledge of visa and university systems (e.g., IRCC, DS-160, Schengen forms, WES, etc.) is a major plus
