SENIOR OFFICER WORKPLACE & FACILITY MANAGEMENT

Job Purpose: To facilitate facility management. Job Responsibilities:

  • Prepare documents (RFPs, BOQs, PPTs, activity approvals) for various projects. Manage budgets (RFIs, forecasted quotations, approvals) and procurement processes for workplace and facility management projects, including building repair & maintenance, UPS, DG, split ACs, HVAC, and other unforeseen projects.
  • Create technical evaluation criteria for different workplace & facility management projects.
  • Ensure all HQ-based NWD project purchase requisitions are completed within deadlines.
  • Ensure purchase orders are issued by the procurement team on time and follow up until completion, reporting to the line manager.
  • Release GRNs based on actual consumption of facility infrastructure projects.
  • Process vendor payments related to facility functions within deadlines, following up until invoices are cleared, and report to the line manager.
  • Manage CAPEX & OPEX payments and reporting.
  • Research, analyze, and resolve issues as assigned.
  • Develop and manage quarterly KPIs for workplace & facility management.
  • Prepare monthly dashboards covering building maintenance, DG, UPS, HVAC, split AC maintenance, fuel, and electrical consumption for stakeholders, ensuring KPI monitoring.
  • Execute routine repairs and maintenance projects to ensure continuous operations.
  • Support team efforts and perform related tasks as needed.
  • Act as backup POC for NWD asset verification and record movement.
  • Serve as backup POC for expat houses repair & maintenance.
  • Develop and update policies to ensure efficiency and compliance.
  • Prepare weekly and monthly project reports for management review.
  • Support nationwide OAS facilities projects, including documentation, budgeting, and procurement oversight.
  • Assist in nationwide asset verification for OAS assets, ensuring accuracy and compliance.
Eligibility Criteria

Education: Bachelor's degree in relevant field.

Work Experience: 3+ years.

Skills

Generic: Communication skills.

Job Specific: Proficiency in Microsoft Office, report writing, vendor analysis.
