Job Description:

We are seeking a highly skilled and experienced Administrative Manager to join our team. The successful candidate will be responsible for overseeing the day-to-day operations of the administrative department, ensuring that all tasks are completed efficiently and effectively.

Responsibilities:
  • Planning and Coordination: Plan and coordinate administrative procedures and systems to streamline processes and improve productivity.
  • Staff Management: Recruit, train, and allocate responsibilities to personnel, ensuring that they have the necessary skills and knowledge to perform their duties.
  • Performance Assessment: Assess staff performance and provide coaching and guidance to ensure maximum efficiency and effectiveness.
  • Communication: Ensure the smooth and adequate flow of information within the organization, facilitating other business operations.
  • Scheduling: Manage schedules and deadlines to ensure timely completion of tasks.
  • Inventory Management: Monitor inventory of office supplies and the purchasing of new material, taking into account budgetary constraints.
  • Cost Control: Monitor costs and expenses to assist in budget preparation and ensure financial stability.
  • Facilities Management: Oversee facilities services, maintenance activities, and tradespersons (e.g., electricians).
  • Office Operations: Organize and supervise other office activities (recycling, renovations, event planning, etc.).
  • Policies and Regulations: Ensure operations adhere to policies and regulations.
Job Specification:
  • Experience: Proven experience as an administration manager.
  • Understanding: In-depth understanding of office management procedures and departmental and legal policies.
  • Skills: Familiarity with financial and facilities management principles, proficient in MS Office, analytical mind with problem-solving skills, excellent organizational and multitasking abilities.
