About the Onboarding Specialist Role

This pivotal role creates an exceptional new hire experience, championing our onboarding process from offer acceptance through the initial 90-day integration period.

The successful candidate will be a blend of detailed coordinator, engaging facilitator, and culture ambassador, helping new employees transition into company culture.

Main Responsibilities:

  • Serve as primary point of contact for new hires, answering questions and providing necessary information before their start date.
  • C Coordinate weekly New Hire Orientation sessions, ensuring a smooth agenda.
  • P Prepare and maintain all orientation materials, including welcome kits, presentations, handbooks, and digital resources.
  • Deliver up to 20%-40% of new hire orientation sessions, covering company history, culture, values, benefits, and key policies.
  • Coordinate with presenters from other departments (IT, Security, Department Heads) to ensure a cohesive orientation agenda.

Key Performance Indicators:

  • Manage the end-to-end onboarding workflow, ensuring accurate completion of logistical tasks.
  • Initiate and monitor pre-employment processes, including background checks and paperwork.
  • Ensure timely completion of new hire paperwork, maintaining strict compliance standards.
  • Partner with hiring managers to equip them with structured role-specific onboarding experiences.
  • Administer 30, 60, and 90-day check-in surveys to gather feedback and improve the onboarding journey.

Requirements:

  • 1-2 years of experience in Human Resources, Learning & Development, Talent Management, or administrative coordination roles.
  • Exceptional organizational skills and attention to detail.
  • Outstanding communication skills and a warm, welcoming demeanor.
  • Proven ability to manage multiple priorities and deadlines in a fast-paced environment.
  • Proficiency in Google Workspace.
  • A high degree of integrity and discretion when handling confidential information.

Bonus Points:

  • Associate's degree in Human Resources, Communications, Business Administration, or a related field.
  • Experience with HRIS and/or Learning Management Systems.
  • Familiarity with Form I-9 and E-Verify compliance procedures.
