Job Summary

This role plays a critical part in the day-to-day functioning of our organization, ensuring seamless administrative support and operational efficiency.

The successful candidate will be responsible for providing high-quality administrative assistance, maintaining accurate records, and ensuring timely completion of tasks.


Key Responsibilities
  1. Laundry Maintenance: Daily issuance of uniforms, safety shoes, caps, and masks to ensure a safe and clean working environment.
  2. Admin Store Handling: Managing monthly hosiery requests from various departments, including stationary, grocery, hosiery, shoes, and janitorial supplies.
  3. Petty Cash Handling: Maintaining accurate records of petty cash transactions and ensuring compliance with company policies.
  4. Transportation Rentals: Arranging transportation rentals and pool cars as required.
  5. Collection of Goods and Bills: Verifying and collecting goods and bills, including fueling and maintenance services.
  6. Pool Cars R&M: Requesting and verifying repairs and maintenance of pool cars.
  7. Production Scrap and Waste: Maintaining daily production scrap and waste records and reporting on a monthly basis.
  8. Monthly Invoices: Verifying and documenting all monthly invoices for WTS and other expenses.
  9. Foreigner Protocol Documents: Handling foreigner protocol documents, including IB and police station procedures.
  10. All WTS Billing Records: Maintaining accurate records of all WTS billing transactions.
  11. Government Payments: Ensuring timely payment of government taxes, fees, and other dues.
  12. Coupa/PO: Working on procurement approvals and receiving consent from line managers.
  13. Accrual Data: Sending accrual data to head office and CG India on a regular basis.
  14. Meeting and Training Arrangements: Coordinating meetings and training sessions as required.
  15. FS Medical Expense Cash Provision: Managing medical expense cash provisions for employees.
  16. Record Keeping: Maintaining accurate records of tasks, activities, and administration-related matters.
  17. Couriers and Guest Visits: Tracking and managing courier services and guest visits.
  18. Stationary and Meeting Rooms: Arranging for stationary supplies and meeting room bookings.
  19. Telephone Exchange: Operating and maintaining the telephone exchange system.
  20. Canteen Area Inspection: Conducting daily inspections of the canteen area and related facilities.
  21. SOPs and THA Documentation: Maintaining documentation of Standard Operating Procedures (SOPs) and Technical Handbook Annexures (THAs).

Required Skills and Qualifications
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Able to work independently with minimal supervision.
  • Proficient in Microsoft Office Suite.
  • Familiarity with Coupa/PO systems an asset.
