We are seeking a highly skilled and experienced HR Specialist to join our team. As an HR Specialist, you will be responsible for maintaining and enhancing the organization's human resources by planning, implementing, and evaluating employee relations and human resources policies, programs, and practices.
Main Responsibilities:
- Maintain and enhance the organization's human resources by developing and implementing effective HR strategies, policies, and procedures.
- Provide exceptional customer service to employees, responding to their inquiries and concerns in a timely and professional manner.
- Serve as a point of contact with benefit vendors/administrators, ensuring seamless communication and issue resolution.
- Coordinate appointments, meetings, and travel arrangements for senior management and other staff members.
- Manage calendars for the HR management team, ensuring accurate scheduling and efficient time allocation.
- Develop and maintain holiday calendars for the team, ensuring compliance with organizational policies and local regulations.
- Compile reports and spreadsheets, preparing data-driven insights to inform HR decisions.
Recruitment/New Hire Process:
- Create value vs cost models for each hiring position, ensuring alignment with business objectives.
- Develop headcount forecasts based on company goals, identifying talent acquisition needs and resource requirements.
- Participate in recruitment efforts, collaborating with hiring managers to identify top candidates.
- Post job ads, manage resumes and applications, and schedule interviews to ensure efficient candidate selection.
- Collect employment and tax information, verifying candidate credentials and qualifications.
- Ensure background and reference checks are completed, adhering to organizational standards and best practices.
- Prepare new employee files, ensuring accurate documentation and compliance with regulatory requirements.
- Orient new employees to the organization, providing comprehensive onboarding and support.
- Administer new employment assessments, evaluating candidate performance and potential fit.
- Serve as a point person for all new employee questions, providing responsive and knowledgeable support.
Record Maintenance:
- Maintain current HR files and databases, ensuring accuracy and up-to-date information.
- Update and maintain employee benefits, employment status, and similar records, ensuring compliance with organizational policies and local regulations.
- Maintain records related to grievances, performance reviews, and disciplinary actions, following established protocols and procedures.
- Perform file audits to ensure that all required employee documentation is collected and maintained, identifying areas for improvement and optimizing HR processes.
Job Specifications:
- Bachelor's or Master's degree in Business Administration, Human Resource Management, or related field.
- Minimum 5 years of relevant work experience in HR, preferably in a reputable organization.
- Excellent written and verbal communication skills, with ability to craft compelling emails and presentations.
- Strong organizational and project management skills, with proven ability to prioritize tasks and meet deadlines.
- Friendly and personable demeanor, with excellent interpersonal and teamwork skills.
- Proficient in Microsoft Office and relevant software, with ability to adapt to new tools and technologies.
