Job Title: Contract Management Coordinator
">Contract Operations & Data Governance – AssistantThis role is accountable for overseeing the abstraction, management and optimization of contract data and processes, ensuring high levels of accuracy, accessibility, and compliance.
The key responsibilities include:
- Organizing, abstracting, storing, and retrieving contract data and legal documentation to ensure easy accessibility and well-maintenance.
- Maintaining accurate and up-to-date information in a contract lifecycle management (CLM) system, including customer contract details such as start and end dates, terms and conditions, pricing information, and relevant customer details for commercial and enterprise segments.
- Inputting vendor contract information into databases or software systems, including details such as contract start and end dates, terms and conditions, pricing information, and relevant details for standard vendor agreements.
- Processing all changes to contract data records in a contract data management system, including metrics such as renewal rates, contract value, and any issues or trends observed.
- Maintaining contract data with high levels of accuracy, consistency, and reliability, in alignment with company-wide data governance processes.
- Identifying and rectifying data entry errors or inconsistencies to uphold the highest standards of data integrity.
- Knowledge management of the contract landscape, acting as the first point of contact for CLM/contract-related questions, including contract hierarchy, correct contract template selection, validating data in the system, and managing data access.
- Supporting the contracting process with queries and managing signature and storage processes, ensuring contract data is well abstracted through the process.
- Maintaining strict adherence to internal business process SLAs, guaranteeing contract data and reporting are completed within designated timeframes.
- Complying with data protection regulations and company policies regarding secure and confidential handling of customer information.
- Supporting the wider contract management team as needed, contributing to overall effectiveness and collaborative environment.
- A high school diploma or GED is required; post-secondary education or relevant certifications in Business Administration, Information Systems, Legal, or related fields are preferred.
- Experience in data entry or an administrative role is beneficial, with a proven track record of meeting internal service level agreements (SLAs).
- Ability to handle data update requests promptly and with a high degree of accuracy and attention to detail.
- Strong communication skills, with proficiency in both written and verbal English.
- A collaborative team player who is adaptable and capable of working effectively in a dynamic environment.
- Desirable proficiency with contract lifecycle management (CLM) platforms, and solid understanding of data management practices.
Suitable candidates will possess strong analytical skills, attention to detail, and ability to work accurately under pressure. A collaborative mindset, excellent communication skills, and adaptability are also essential qualities.
