We are seeking a highly skilled and organized administrative professional to join our team as an Executive Support Specialist.

This role will provide comprehensive support to our executive leadership, requiring close collaboration with team members to manage administrative tasks, coordinate schedules, and ensure efficient communication within the organization.

Responsibilities:
  1. Prepare and edit correspondence, reports, presentations, and other documents using Microsoft Office Suite (Word, Excel, PowerPoint).
  2. Assist with document preparation, formatting, and proofreading to ensure accuracy and consistency.
  3. Handle incoming and outgoing communications, including emails, phone calls, and mail correspondence, with professionalism and discretion.
  4. Maintain and organize electronic records ensuring easy access to important documents and information.
  5. Help with project coordination, including tracking deadlines, updating task lists, and liaising with team members to ensure timely completion of deliverables.
  6. Research various topics as needed and compile findings into concise reports or summaries.
  7. Assist with personal tasks and errands for executives as requested, demonstrating a willingness to adapt and support various needs.

Requirements:

  1. Proven experience in an administrative support role, preferably as a Personal Assistant or Executive Assistant.
  2. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
  3. Excellent communication skills, both written and verbal, with a high level of professionalism and discretion.
  4. Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
  5. Attention to detail and accuracy in all aspects of work, including document preparation and data entry.
  6. Ability to work independently with minimal supervision, while also collaborating effectively within a remote team environment.
  7. Flexibility and adaptability to handle changing priorities and unexpected situations with a positive attitude.
